Tiba Psychology is committed to protecting your privacy. This policy explains how we collect, use, and store your personal and health information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What information we collect
In the course of providing psychology services, we collect:
- Identifying information: name, date of birth, address, phone, email
- Medicare and health-fund information: where you wish to claim a rebate
- Referral information: from your GP, EAP provider, NDIS plan manager, or other referrer
- Clinical information: notes from sessions, assessment results, and treatment plans
How we use your information
We use your information to:
- Provide and coordinate your psychology care
- Process Medicare, EAP, PHN, NDIS, DVA, or private-health claims
- Communicate with you about appointments and reminders
- Liaise with your GP, psychiatrist, or other treating practitioners where appropriate and with your consent
- Meet our legal and professional obligations (including AHPRA and Medicare requirements)
Where your information is stored
Clinical records are stored securely within our practice-management system (Zanda Health), which keeps data on Australian-based servers. Payment information is processed through Stripe and Tyro. Telehealth sessions are delivered through Zanda Health’s secure telehealth video.
Disclosure of your information
We will not disclose your personal or health information without your consent, except where:
- Required or authorised by law (for example, in the case of subpoena or mandatory reporting)
- You or another person is at serious and imminent risk of harm
- Disclosure is necessary for your care and you have given consent
How long we keep your information
Under AHPRA and state-based requirements, clinical records are kept for a minimum of seven years after your last session, or until your 25th birthday if you were under 18 when the records were made.
Your rights
You have the right to:
- Access the information we hold about you
- Correct any information that is inaccurate or out of date
- Request that we restrict how we use your information
- Make a complaint if you believe we have not handled your information appropriately

Complaints
If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
